Director of Camps & Programs (AKA Camp Director) - Full Time Permanent

Scope & Summary of Job:
 

Reporting to the Executive Director, the Director of Camps & Programs is responsible for the development, promotion, and successful operation of our camp and school programs, providing leadership and direction to staff and volunteers and supporting the administration of Pearce Williams Summer Camp & Retreat Facility.

Covering a wide range of duties, the Director of Camps & Programs does what needs to be done to give our campers, staff, volunteers and school groups the most amazing camp experiences year-round. This includes program development and delivery, staff and organizational management, building relationships with all stakeholders and ensuring that all camp programs and responsibilities are carried out in a way that reflects the mission and values of PW.

  • Personal transportation to the site is required. 

  • Pension and benefits will be included after a 3-month probation period.

  • Not expected to live on site during summer camp operation - this position will supervise a Summer Camp Director.

Pearce Williams has a full-time staff team consisting of our Executive Director, Maintenance Team Leader, Office Manager & Guest Services Agent, and Bookkeeper. 

 

The Director of Camps & Programs is an integral part of the full-time team and is not alone in making camp amazing.

Key Responsiblities

TO DO WHAT NEEDS TO BE DONE.

The Director of Camps & Programs role is dynamic and constantly evolving. Key responsibilities include but are not limited to:

Program Development & Delivery:

 

  • Lead the planning of the strategic vision of the summer and off-season programs; developing, organizing, promoting, and implementing all programs to ensure they achieve our goals and mission.

  • Oversee, supervise, coordinate, and manage the daily operations at Pearce Williams Summer Camp with the seasonal Summer Camp Director.

  • Ensure all camp programs comply with Pearce Williams guidelines, Ontario Camps Association standards and the policies and standards of the United Church of Canada with the help of the Executive Director.

  • Maintain knowledge of all current policies and standards with support from the Executive Director.
     

Staffing & Leadership:

  • Oversee all seasonal staff (including a seasonal Summer Camp Director), working with the Executive Director to recruit and hire and train a qualified and dedicated team and acting as the principal contact to the seasonal staff throughout the year.

  • Provide consistent leadership to seasonal camp staff through staff training, ongoing check-ins, feedback, and coaching.

  • Recruit and supervise volunteers, ensuring they are adhering to Pearce Williams policies and procedures.

  • Foster an effective and creative Christian work environment that supports staff and volunteers' personal development, creativity, collaboration, and transparency.

  • Act as a positive role model for campers, staff, volunteers, and guests by embodying the values and mission of Pearce Williams Summer Camp & Retreat Facility.

 

Organizational Management:

  • Work with the Executive Director to develop the annual budget and monitor all expenditures to stay on target.

  • Maintain an up-to-date inventory of program equipment and resources; ensuring camp is well stocked to deliver quality programming.

  • Ensure that all camp facilities are kept in a clean and safe condition year-round; working with maintenance staff to identify work and ensure it is scheduled and completed.

  • Ensure Health & Safety procedures are being followed and maintained by all staff; that camp is clean and safe and meets all Health & Safety requirements.

  • Maintain and implement an overall Risk Management plan for all programs.

  • Attend the monthly board meeting of the Board of Directors, the camping committee of the Antler River Watershed Region or any other meetings as required.

 

Administration and Promotion:

  • Represent and promote camp and facilities within the United Church and the community, at job fairs, church presentations, conferences, within the local community and through other communication tools including social media.

  • Create and implement marketing plans for the camp programs and facility rental programs, with the goal of recruiting and retaining campers, staff, volunteers, and groups.

  • Responsible for Parent and Staff Communication during the summer season and throughout the year; responding to any concerns or requests, resolving issues, managing feedback and being accessible to parents with questions pertaining to summer camp and campers experience.

  • Prepare monthly reports for the Executive Director and Board of Directors.

  • Manage all program and statistical reports via the database (CampBrain), optimizing data for analysis and the betterment of the facility.

  • Ensure all administrative tasks pertaining to camp and rental programs, campers and staff are completed accurately and on time.

 

Relationships:

  • Assist in fostering and maintaining relationships with donors and supporters.

  • Foster and strengthen relationships with the local community, planning and implementing Open House Day and other annual community engagement events onsite.

  • Attend committee meetings and give relevant support to committees as directed by the Board.

  • Stewardship of Pearce Williams Summer Camp’s alumni relationships

 

Qualifications:

 

Essential Functions:

  • Excellent written and verbal communication skills and ability to communicate with children, parents, rental groups, and staff of all ages.

  • Possess physical and mental strength and endurance to work long days in the summer months, maintaining constant supervision of campers and staff.

 

Education and Experience:

  • 2+ years of camping experience in senior management and/or leadership role.

  • Experience working with children.

  • Experience managing camp programming and supervising staff.

  • Post-Secondary education in Child & Youth Studies, Education or Recreation an asset.

  • Valid Driver's License and personal transportation

  • Police Records Check with Vulnerable Sector Screening

 

Knowledge & Skill Requirement:

  • Excellent problem-solving skills with the ability to adapt quickly.

  • Ability to work independently with minimal supervision and with flexibility to respond to shifting priorities.

  • Strong computer literacy including Google Docs Suite, PowerPoint, Excel, Word, Social Media platforms, and previous experience with a CRM (customer relationship management software) is an asset.

  • Ability and willingness to learn new computer programs and skills

  • Well-developed interpersonal, and relationship-building skills.

  • Good time management and organization.

  • Strong attention to detail.

  • Excellent presentation skills.

  • Ability to work with a wide range of internal and external stakeholders.

  • A willingness to learn and a high level of integrity.

Compensation & Benefits:

 

Salary range is $50,000 to $51,000 per year. Salary is commensurate with qualifications and experience.  Pearce Williams offers a competitive base salary as well as a pension and benefits package after a 3 month probationary period.

 

In addition, the Director of Camps, Programs & Marketing will receive an Annual Training Budget to aid in personal and professional development.
